Job Profile Summary:

The Corporate Admin Support, working under direct supervision, is responsible for providing day-to-day administrative support to the Public, Government Affairs, and Sustainability department. This is a key role that involves assisting with a wide range of administrative and operational tasks to ensure smooth and efficient department operations, including but not limited to calendar management, travel coordination, meeting preparation, correspondence management, and assisting with the creation of reports, documents and presentation materials. The ideal candidate will be highly organized, detail oriented, able to manage multiple priorities, and a skilled communicator and collaborator.

 

Job Description:

  • Provides day-to-day administrative support to the Public, Government Affairs, and Sustainability department.
  • Performs diverse administrative duties, demonstrating flexibility, adaptability, and problem-solving skills in responding to evolving organizational needs and priorities.
  • Facilitates travel arrangements for team members, coordinating flights, accommodations, and transportation to ensure smooth and hassle-free travel.
  • Assists team members in completing expense reports, accurately documenting expenditures and adhering to corporate policies and procedures.
  • Helps manage incoming inquiries and correspondence, ensuring timely and appropriate responses to stakeholders.
  • Assists in organizing and planning meetings, events, briefings, conferences, and stakeholder engagements, including coordinating logistics, preparing materials, scheduling catering, and managing RSVPs.
  • Supports the management of special projects, ensuring deadlines are met and tasks are completed in a timely manner. Helps track progress and follows up on outstanding deliverables.
  • Assists with compiling and organizing research and materials for presentations, briefings, and reports for internal and external stakeholders.
  • Drafts, proofreads, and formats internal and external correspondence, presentations, and reports. Ensures all documentation adheres to company standards.
  • Maintains an organized filing system for departmental documents, both physical and electronic. Ensures that all records are properly maintained and compliant with company policies.
  • Processes invoice payments and check requests, manages courier services, and tracks deliveries to ensure timely receipt by intended recipients.
  • Supports the tracking, reporting, and forecasting of department operating expenses.  
  • Adheres to established company, legal and regulatory standards, and guidelines, and ensures confidentiality in all dealings with organization data.

Education:

  • High School Diploma or General Education Diploma (GED) required. Associate’s or Bachelor’s degree preferred.

Experience:

  • 3+ years of relevant experience, preferably in a corporate, government relations, public affairs, or energy-related field.
