Your mission

The Global Projects Centre & Asia Pacific (GPC&AP) is Subsea 7’s centre of excellence for the execution of its largest projects worldwide.

Within the Engineering Function and as a member of the Engineering assistant team, you’ll assist our personnel based in Suresnes with the execution of the general logistic and administration work. In addition to that, you’ll coordinate with HR and the Engineering disciplines the training activities beyond Suresnes office.

KEY RESPONSIBILITIES & ACTIVITIES

As our organization grew significantly recently, we are looking for an additional assistant to coordinate our Training activities and share administration work with the other team members. The expected time balance is 50/50 on each area.

As Training coordinator, you’ll organize the trainings specific to Engineering Function (not limited to Suresnes). This encompasses technical trainings provided internally and externally. You’ll be in contact with HR and each Discipline managers to identify the trainings required and support the preparation work, especially for internal trainings. You’ll also organize the training database so that the training material (presentation, recording…) is accessible and up to date.

As Engineering assistant, you’ll coordinate with the other assistants to assist the Functional Managers by carrying out administrative and secretarial tasks such as:

  • Arranging workshops/event: room bookings, invitations, refreshments, preparation of documents, equipment set-up, minutes, action tracking, as required
  • Administrating Department Public and Team SharePoint sites and the Libraries and Lists therein Organizing the Department information on Sharepoint
  • Assisting the Team with time entry, expenses, etc.
  • Arranging travel, including: non-project related visa application and processing; road, rail, sea and air travel; accommodation; tracking and related work
  • Ensuring the new comers starts in the best condition (desk, laptop, software ready for day one), including the Induction of personnel into the Department
  • Purchasing of stationery and small items
  • Facilities coordination for the Department: desk space, equipment, etc.

Your profile

All personnel are expected to adhere to local HSEQ codes and practices and Subsea 7 Code of Conduct.

  • Formal qualification in department Assistant / Secretary
  • Relevant previous experience
  • Proficient in MS Office and Outlook
  • Good interpersonal skills
  • Fluent in French and English (oral and written)
  • Organization and time management skills
  • Good communication, problem-solving, resilience, adaptability and teamwork skills are some of the soft skills that we are looking for this position
  • Knowledge of SAP and Sharepoint online would be appreciated
