Executive Assistant Job Duties
  • Manage contract administration, including set up new contracts by reviewing proposals, gain legal approvals, process in contract system and prep for signature. Maintain contract expiration log.
  • Maintain company subscriptions and access
  • Coding and processing invoices via iPay
  • Manage and coordinate calendars and meetings
  • Setup conference room and greet guests for onsite meetings
  • Monitor EOG_IR email inbox and EOG_IR phone calls on a daily basis. Monitor media inbox and media phone calls on a daily basis.
  • Reply & distribute emails/voicemails to appropriate persons (including all land admin emails & calls)
  • Order office supplies / maintain storage supply room
  • Create PowerPoint templates and slides as needed
  • Prepare expense reports
  • Organize group volunteer activities and team socials/lunches
Investor Relations
  • Issue press releases for quarterly earnings, dividend announcements and other miscellaneous releases, e.g. officer promotions, sustainability report publication.
  • Ensure website is updated and correct documents are posted
  • Manage ESG investor requests
    • Schedule and run update meetings with working group
    • Log all requests and file correspondence 
    • Respond to requests and schedule meetings with investors
    • Maintain ESG contact database
  • Manage daily news distribution to Senior Management and BOD
    • Trouble-shoot app used for delivery
    • Spear-head continued app developments
  • Create quarterly earnings timeline and schedule meetings accordingly
  • Maintain & distribute peer earnings schedule 
  • Set up PowerPoint template for quarterly peer analysis 
  • Distribute post-quarter summary to Officers & BOD
  • Update Targeting Database
  • Print quarterly investor relations books
  • Assist IR Coordinator with marketing trips and meetings on an as-needed basis 
Stakeholder Relations and Communications
  • Annual report project management
    • Assist with all preparation and meetings leading up to the final annual report
    • Work with printer to coordinate quantity and distribution
  • Project management of ad hoc internal and external communication and graphic efforts
  • Monitor media for EOG-related articles 
  • Assist with publication of monthly EOG Magazine
  • Coordinate updates to EOG internal and external website and monitor on an ongoing basis for errors
  • Process logo use questions and requests (emails, permissions form, obtaining signed form and file)
  • Manage media assets (logos, photos, icons, PowerPoint templates)

Minimum of 3 years executive administrative assistant experience required; experience interacting with senior management is strongly preferred and must have strong collaboration and interpersonal skills with all levels of management, clients and personnel. Experience in domestic and international travel logistics required. Must have advanced PC skills, including: Microsoft Outlook/Calendar, Microsoft Word, Excel, PowerPoint, experience with database maintenance and exporting reports from online databases. A high school diploma or GED is required.
 
Position will be filled at a level commensurate with experience.
