We are currently looking for an experienced and motivated individual to fill the position of Legal Operations Specialist within our Legal Operations Team located in Houston, TX.

 

Primarily responsible for invoice entry and management, liaising with Accounts Payable and supporting vendors and internal resources with invoice processes and questions. Support the day-to-day accounting, financial and legal operations activities in the Legal department. Assist with special projects in the Legal Operations team. Must be highly organized with technology systems knowledge and capabilities. Finance and accounting skills, Excel knowledge and experience with legal services preferred. Assist with Legal department processes, operations, and systems.

 

Primary Responsibilities

  • Invoice Management:

    • Responsible for receiving and entering legal invoices into the legal billing system

    • Respond to questions and issues raised by vendors and internal resources regarding invoicing and allocation of costs

    • Assist with managing activities and functionality of the legal ebilling system

  • Outside Counsel Management:

    • Support management of outside vendors including invoices, engagement agreements, budgets, reporting, and compliance with billing guidelines

    • Assist with ensuring compliance with the Oxy legal vendor management requirements

    • Support internal vendor management requirements

  • Information Technology and Subscriptions:

    • Provide support as needed for matter management, ebilling and other legal systems

    • Assist in supporting Legal department subscriptions with service providers

  • Reporting:

    • Assist with and creating and distributing reports

    • Assist with reporting required from Treasury and other compliance related reports

    • Internal cost monitoring and reporting

  • Financial and Accounting:

    • Assist with accounting processes and requirements, including potentially allocations, accruals, reserves, and budgeting

    • Help identify and implement cost saving initiatives and opportunities

Qualifications

 

Basic Qualifications:

  • Experience with invoice management and accounting

  • Proficient in Excel and financial reports

  • Understanding of financial management principles

  • Experience with systems and data

 

Preferred Qualifications:

  • BA/BS degree

  • Legal operations or legal technology experience

  • IT and systems experience and skills

  • Strong interpersonal skills

  • Strong organizational skills

  • Team player with proven track record

 

Relocation  will not be provided.
