About the Role

Based in the Santos Brisbane office, this is a vital role responsible for coordinating all aspects of field travel, including managing flight schedules, accommodation arrangements and logistics for our EAPNG Upstream Operations and Maintenance workforce. 

Please note this role requires flexibility in order to align with operational hours – the hours for this role will roughly be 7am – 3:30pm.

Key accountabilities include:  

  • Co-ordinate, maintain and monitor all Domestic & International roster related travel and accommodation for field-based staff via the Santos Compass Travel System.
  • Arrange and manage all logistics pertaining to travel dates, breaks and fatigue management of over cycle requests
  • Manage Roster spreadsheet master document to ensure accurate and up to date data input of all travel, including flights, accommodation, training, RnR, leave requests, etc.
  • Arrange Onboarding, Mobilisation & Demobilisation of new staff and contractors and attend to the changing needs of existing staff
  • Raise purchase and drawdown requisitions though Coupa, and make payments to suppliers via Visa Corporate Card, process within in a timely manner, and liaise with relevant internal and external parties to expedite the order as necessary
  • Provide high-level administrative support to both field and office-based team members, ensuring that admin services across all the EAPNG Upstream Operations and Maintenance teams are delivered effectively and efficiently
  • Assist in the planning, logistics and administration of events such as team offsite sessions
  • Other ad-hoc administrative duties as directed

  

About You

As a motivated and experienced administration professional, you will have meticulous attention to detail, excellent communication skills, and a commitment to supporting Santos’ objectives, culture and values, as well as:

  • Prior experience in an administration role, with specific focus on travel support
  • Ability to work flexibly and independently, often with remote teams
  • Proficient in the use of Microsoft business applications (specifically Outlook, Word, Excel PowerPoint, and SharePoint)
